Email in Microsoft 365

Microsoft Outlook is included in every Microsoft 365 account and provides your university email service. A mailbox is created automatically for every Charles University student and employee when their Microsoft 365 account is activated.

You can access your email through Outlook on the web, the Outlook desktop application, or a supported email client.

Multiple university email addresses

Depending on your relationship with Charles University, your Outlook mailbox may be associated with one or more university email addresses.

For example, if you are a student at one faculty and an employee at another, you may have separate email addresses for each role. All messages sent to these addresses are delivered to the same Outlook mailbox.

In addition, every Microsoft 365 user has an email address in the format:

where UKČO is your personal Charles University identification number.

Student email addresses

Students of the Faculty are assigned an official university email address in the following format:

where XYZ is a unique three-digit number assigned to each student. This email address is used for official communication with the Faculty.

If you are both a student and a university employee, your default outgoing email address may differ depending on your university role.

    Accessing your email

    You can access your Outlook mailbox in several ways:

    Outlook on the web
    Outlook desktop application
    Mobile Outlook application
    Another email application supporting POP or IMAP protocols (Information about POP, IMAP and SMTP settings is available in the Outlook web settings.)

    Acess after leaving Charles University

    When your relationship with Charles University ends (for example, after completing your studies or leaving your employment), your Microsoft 365 account remains active for four months, unless special circumstances apply.

    If you have multiple relationships with the University (for example, you are both a student and an employee), this period begins after your final university affiliation ends.

    After the four-month period:

    access to Microsoft 365 cloud services and stored data is discontinued,
    your university email account remains active for an additional seven months, and
    after a total of eleven months, the email account and all associated data are permanently deleted.

    We recommend downloading any important files and transferring personal data before your account expires.
